How booking works: payment, fees and cancellation
The terms say the company acts as agent for the tour suppliers. The practical points:
- Payment: full payment at booking if you travel within two weeks; earlier bookings can go on a deposit or part payment.
- Card surcharges: 1.2% on Australian Visa and Mastercard, 1.8% on Australian Amex, 2.9% on international cards.
- Cancellation: "All tour and attraction cancellations are subject to the individual Tour Operator's cancellation policies" — plus the agent's own fee.
- Admin fee: A$60 on any tour or activity cancellation; A$250 on private day charters; A$450 on overnight charters.
That A$60 is the key number. A Hervey Bay half-day whale cruise costs A$119–A$160 on GetYourGuide, so cancelling through this agent can cost a third or more of the ticket even when the operator itself would refund in full.
Operators' cancellation terms underneath
Because the operator's policy applies first, know what the Hervey Bay whale operators say on their own sites. Pacific Whale Foundation refunds in full only more than 48 hours out. Spirit of Hervey Bay asks for 24 hours' notice and charges no fee. Boat Club charges 50% inside 7 days. Hervey Bay Whale Watch refunds in full with 48 hours' notice.

The whale swim listing: what to know
The agent's whale-and-island day credits the swim to Hervey Bay Whale Watch. That operator's own site says the swim costs an extra A$100 per person, paid during the tour, cannot be pre-booked, is not guaranteed, and is refunded if it does not happen. The operator says swims are best from July to early September; after that, mothers and calves become more common, and the operator notes those are "prohibited for swims by legislation". A late-September booking is mostly a whale watch with a slim swim chance.

Good fit: people booking a longer Queensland holiday through one agent, and groups after a private charter who want someone else to arrange it.

Private charters. This is where the agent has most to offer in Hervey Bay: a private boat for up to 12, or an overnight whale-watching charter. The cancellation fee rises with them (A$250 for a private day, A$450 overnight), so be sure of your dates.
